D2 GROUP / RESEARCH QUALITY GUIDE

B2B Buyer & Contact Verification: what counts as a usable contact?

A relevant company is not automatically a contact-ready lead. This guide distinguishes a useful buyer function, a named contact, a verified direct business email and a documented contact gap.

Direct answer

When is a researched B2B buyer contact actually verified?

A B2B contact is review-ready only to the standard agreed in the research brief: the person's current role or buyer function must be grounded in an attributable source, the contact route must be clearly identified, and any required direct email must have appropriate verification. A job title, guessed email pattern or general inbox is not equivalent to a confirmed direct contact.

Decision-maker research identifies appropriate buying functions. This guide answers a different handoff question: what level of evidence is present for each contact field, and when should a record be held?

RESEARCH / FIELD SCOPE

Five contact states worth distinguishing

Do not collapse these states into a single 'contact found' checkbox. Handoff acceptance depends on the approved scope and the client's outreach realities.

01

Buyer function known

The likely department or role is grounded in how a purchase decision would be made, but no individual has been identified.

02

Named person with sourced role

A business source identifies an individual and their role; current employment and responsibility may still need checking.

03

Business contact route available

A published department, switchboard or company inbox offers a contact route, but it is not a direct personal email.

04

Direct business email verified

An attributed business email is recorded with an appropriate verification method and source/date, subject to lawful and suitable use.

05

Gap, stale or contradictory contact

The role, affiliation or address is missing, outdated, unverified or conflicting. It is held or flagged—not silently upgraded.

Frequently asked questions

Frequently asked questions

Does a LinkedIn name prove the person can approve a purchase?

No. The current job and relevant buying authority need to be considered separately, with dated evidence where obtainable.

Is a generic company email a verified decision-maker contact?

No. A general mailbox can be a business contact route, but it is not the named buyer's direct address.

Why hold an otherwise ICP-fit account?

If the agreed handoff requires a verified direct contact, a missing or disputed email is a disclosed GAP rather than an accepted contact-complete lead.

SCOPE / ACCEPTANCE

Define contact acceptance before ordering research

Specify required functions, named buyers, direct emails, geography, existing CRM exclusions and how unresolved gaps will be reviewed. D2 can then scope a realistic research handoff.

Discuss buyer/contact requirements

This page explains a research method and illustrative fields; it is not an outcome guarantee, quote or permission to send outreach.

EVIDENCE / INFERENCE / GAP

Contact field vs permissible conclusion

These labels communicate evidence strength. They are not a claim that every sector, country or brief uses identical contact requirements.

Contact research and QA workflow

  1. 01

    Identify the buying function

Start from the seller's product, commercial decision, technical gate, procurement route and client's target roles—not a generic seniority title.

  2. 02

    Record source and affiliation

Capture a business-appropriate source, the exact role wording, company affiliation and date last checked. Resolve name changes and possible departures.

  3. 03

Classify the route, not just the string

Distinguish direct business email, department mailbox, switchboard, profile URL and inferred/unverified address. Avoid scraped personal or sensitive data.

  4. 04

    Check conflicts and lawful usage

Review source freshness, organizational mismatch, exclusions and applicable communication requirements. Public visibility is not blanket permission to email.

  5. 05

    Set acceptance or GAP state

Mark accepted, held for contact verification or excluded against the brief; provide the missing field and next validation step.

Review criteria

Contact handoff checklist

  • The approved ICP and required buyer function are explicit
  • Role, affiliation and contact route have sources and verification dates
  • Named buyer is not confused with the department alone
  • Direct email, general mailbox and unverified pattern are separate fields
  • Duplicate CRM / suppression / privacy constraints are respected
  • Missing fields and whether a lead is outreach-eligible are recorded independently of research acceptance
